Dirt, Sand, and Gravel Delivery: What Every Landscaper Should Know Before Ordering

If you’re a landscaper, you already know that the materials you choose can make or break a project. However, even seasoned pros can run into headaches when it comes to ordering bulk materials like dirt, sand, and gravel. Too little and you’re scrambling for a second dirt, sand, or gravel delivery. Too much and you’re left with a pile that has nowhere to go. Sound familiar?

First, Know Your Materials

Not all bulk materials are created equal, and choosing the right one for your project is the most important step. Before ordering, make sure you understand what each material is best suited for:

Topsoil / Fill Dirt

Topsoil is the go-to for lawn installations, garden beds, and grading projects where you need rich, workable soil. Fill dirt, on the other hand, is used primarily to level ground or fill in low spots. Because fill dirt lacks the organic matter of topsoil, it’s not ideal for planting — but it’s perfect for building up grade.

Sand

Sand is a versatile material used in everything from paver base layers to playground areas and drainage solutions. Furthermore, it’s commonly used to level surfaces before laying pavers or retaining wall blocks. If drainage is a concern on your job site, sand is often part of the solution.

Gravel and Crushed Stone

Gravel is one of the most widely used landscaping materials out there. In addition to driveways and pathways, it’s used for drainage beds, decorative ground cover, and French drain systems. Crushed stone, meanwhile, compacts well and is ideal for base layers under patios and walkways.

Calculate Your Quantities Before You Call

One of the most common mistakes landscapers make is ordering materials without doing the math first. Consequently, they either come up short or end up with excess material they have to deal with later. Before placing your order, take a few minutes to calculate what you need.

Here’s a simple formula to get you started:

  • Measure the length and width of the area in feet
  • Determine the depth of material needed (in inches)
  • Multiply: Length x Width x (Depth / 12) = cubic feet
  • Divide by 27 to convert to cubic yards

For example, if you’re covering a 20 x 30 foot area with 3 inches of gravel, that’s 20 x 30 x (3/12) = 150 cubic feet, or about 5.5 cubic yards. Therefore, you’d want to order at least 6 cubic yards to be safe. When in doubt, round up — a little extra is much easier to manage than running short mid-job.

Think About Site Access Before Delivery Day

This one catches a lot of landscapers off guard. Even if you’ve ordered the perfect amount of material, delivery can become a major headache if you haven’t thought through site access ahead of time. Here are a few things to consider:

  • Is there enough clearance for a dump truck to get in and out safely?
  • Are there overhead obstacles like low-hanging branches or power lines?
  • Is the ground firm enough to support a loaded truck, especially after rain?
  • Where exactly do you want the material dropped?
  • Will the delivery block traffic, a driveway, or access to other parts of the property?

Additionally, if you’re working on a residential property, it’s always a good idea to give the homeowner a heads-up about the delivery. That way, everyone knows what to expect and there are no surprises when a truck pulls up.

Timing Your Delivery Right

Timing is everything in landscaping. Therefore, coordinating your material delivery with your project schedule is key to keeping things running smoothly. Ideally, you want your materials to arrive right when your crew is ready to use them — not a week early when they’ll be in the way, and not a day late when the job is already behind.

Here are a few timing tips to keep in mind:

  • Schedule rock, sand or gravel delivery for the morning so your crew can work through the day
  • Avoid scheduling deliveries during or right after heavy rain when possible
  • If you’re doing multiple phases of a project, consider staggering your deliveries
  • Always confirm your delivery window a day or two in advance

Similarly, the wrong gravel size can affect how well a base layer compacts. So don’t be shy — ask the questions before you order, not after the material is already on the ground.
